IT Sharing Sessions in November 2016– Azure Rights Management Services (RMS) and email Tips & Tricks

Dear Colleagues,

We are delighted to arrange a 1.5 hr sharing session for staff on Azure Rights Management Services (RMS) and tips & tricks on how to use Outlook to increase productivity.

Like AD-RMS introduced 3 years ago, which allows NP staff to grant who can read or edit a file, Azure RMS can do more. It allows you to grant people from other organizations on what kind of file access permission you would like them to have for an attachment that you sent to them.

We will also be sharing with you tips such as

  • Limit desktop notifications to only the most important emails,
  • Quickly save emails as files,
  • Use natural language to create a calendar event

just to name a few.

Skype for Business Meeting in Outlook

Skype for Business meeting in Outlook is a great tool to schedule online meetings. Skype for Business meeting supports both video and audio conference, plus the sharing of the computer's desktop or program which makes online meeting as interactive as traditional face to face meeting.

Before you can schedule Skype for Business meeting in Outlook, you have to sign in to your Skype for Business account. To login to your Skype for Business, just key in your short NP email address and NPNet password.

Sign in to Skype for Business

You can start setting up Skype for Business meeting in your Outlook by going to the Calendar section, and click on 'New Skype Meeting'. Meeting organizer would have to indicate the attendees' email address and a name for the meeting. Also, the organizer can attach relevant files or documents to the meeting invite.

mSTAFF - Mobile app for NP HCM Services

mSTAFF mobile app was recently released for staff to access NP HR services via mobile devices. The features available in this current version of mSTAFF include:

  • Staff Directory – Search, view, and contact colleagues
  • Leave Applications & Approval - View, apply and approve leave applications
  • Teaching Claims Acknowledgement

The mobile app is available for both Android and iOS platforms. Colleagues may access the download and installation guide by clicking HERE.

To download the mSTAFF app, you would need to use a 'QR code scanner' app to scan the mSTAFF QR code. Please download any QR code scanner app from App Store (for iOS devices) or Play Store (for Android devices) if your device does not have one.

Phishing Emails

Phishing is the attempt to obtain sensitive information like names, passwords and credit card information, often for malicious intent.  Nowadays, phishing emails also contain malicious program called ransomware.

Ransomware can disable your computer or lock up your files until you pay the attacker the ransom demanded.

Protect yourself.  Look out for tell-tale signs to help you identify phishing emails.

  • Sender's display name is different compared to the sender's email address shown in the email header.
  • Suspicious, urgent, and threatening message.
  • Link or website URL which does not reflect the content of the email. You may mouse-over/hover on the hyperlink to view the web address.

You can avoid phishing emails using the SUNDAE method:

  • Spelling errors and bad grammar are common.
  • Urgent or threatening message may be present.
  • Never click on any link but hover your mouse over to view the website address.
  • Do not trust the display name and check the email address.
  • Attachment could be malicious.
  • Email signature is usually fictitious.
